Human Resources/Payroll Assistant – Part Time

PURPOSE OF POSITION:

To provide clerical assistance for human resources and payroll.

ESSENTIAL FUNCTIONS:

Payroll

1. Maintain ezLabor Manager timesheet database and assist employees with timesheet entry.

2. Enter and review course payment information into Access database.

3. Maintain employee information in Jenzabar registration database.

4. Perform audit of data entry into ADP payroll database.

5. Coordinate annual United Way drive and enter withholding information into ADP database.

6. Track attendance at University faculty events and enter payments for participants and presenters into Access database.

Recruiting

1. Place advertisements in newspapers and web job banks and review for accuracy.

2. Maintain job opportunities on the University web site and University job board.

3. Assist in the recruitment process by creating and maintaining applicant databases, responding to applicant inquiries, scheduling interviews, preparing postings, and generating applicant status letters.

4. Coordinate new hire process by assembling information packets, assisting new employees with completing paperwork, verifying Social Security numbers, and scheduling new employees for orientation.

Clerical

1. Answer telephones and serve as receptionist for the Human Resources Department.

2. Provide clerical support to the department including filing, ordering supplies, sorting mail, sending faxes, typing correspondence, and scheduling appointments.

3. Prepare purchase orders and track departmental expenses, reconciling expense report to completed purchase orders.

4. Maintain University phone and email lists on internal database.

REQUIRED KNOWLEDGE/SKILLS/ABILITIES:

1. Minimum two years of clerical support experience with an interest in working in a human resources/payroll environment focused on customer service.

2. Excellent word processing and data entry skills with attention to detail and accuracy.

3. Experience working with database programs required; MS Access experience preferred.

4. Knowledge of ADP / HR Profile payroll system and ezLabor Manager timesheet program preferred.

5. Knowledge of, or an ability to obtain an understanding of, laws and regulations related to payroll and personnel administration including EEO, wage and hour, OSHA, and civil rights.

6. Excellent written and oral communication skills.

7. Ability to maintain confidentiality of highly sensitive information.

8. Ability to work independently and in a team environment.

POSITION HOURS:

25 hours per week, Monday through Friday.
