Accelerated Online Program Assistant - CLOSEDREPORTS TO:Accelerated Online Programs
CLASSIFICATION:Full-Time, Non-Exempt
PURPOSE OF POSITION:Provide ongoing administrative and curricular support to the AOP Director and other departmental stakeholders by performing a variety of administrative and clerical duties.
ESSENTIAL FUNCTIONS:1. Provide administrative and curricular support to the AOP Department. Key duties include effective communication with departmental stakeholders (e.g.: students, Associate and Adjunct faculty, Marylhurst staff, external parties), preparation of quarterly course schedules, coordinating and maintaining course syllabi, editing of university catalog, maintaining student files and class lists, submitting payroll requests, and course evaluation process. 2. Provide first line of support to business students, faculty, academic advisors and other Marylhurst stakeholders by creating a warm, friendly and professional office atmosphere. 3. Assist with preparation of AOP classes and faculty scheduling; maintain master of faculty course assignments with Registrar and Provosts offices. 4. Manage textbook updates and requisition processes, and coordinate purchasing of needed teaching materials (e.g.: MFT tests). 5. Assist with the preparation and submission of documents such as program assessments, MFT, course evaluations, etc. 6. Maintain AOP Departments electronic records, including electronic correspondence files, departmental records, directories, contracts, guest speakers. 7. Maintain current faculty information and faculty database. 8. Assist in the planning and attend special events for the business programs. 9. Assist Advisor with various administrative tasks. 10. Assist Advisor with graduation applications and audits as required and collaborate with other University offices as needed. 11. Order office supplies, track purchase orders/expenses, and maintain all AOP Department files. 12. Make professional development and travel arrangements, complete and submit travel authorizations and reimbursement requests on behalf of Program Chairs and Associate Faculty. 13. Maintain AOP calendars, make arrangements for meetings, and manage Program Directors calendar. 14. Display an attitude geared toward constant improvement of departmental practices and greater student satisfaction.
REQUIRED KNOWLEDGE/SKILLS/ABILITIES:1. Minimum of two years of clerical experience in an office environment, performing a variety of clerical and administrative support functions. Experience in a higher education environment preferred. 2. Excellent customer service skills with students, faculty, and other administrative offices. 3. Ability to prioritize multiple tasks and conflicting demands, focusing on professionalism, follow-through, and accuracy. 4. Demonstrated expertise in MS Office applications and email applications. Ability to learn new software. 5. Experience moving information between multiple database platforms. 6. Excellent oral and written communication skills. 7. Ability to work in a team environment and to work independently. 8. Ability to work weekends and evenings on limited occasions.
POSITION HOURS:40 hours per week, 8:00 am 5:00 pm. May require limited evening and weekend hours.
