Google for All FAQ

Google for All! is a project to bring the entire Marylhurst community into a single, shared collaboration space.

If you are a student and need to activate your account, please email the helpdesk@marylhurst.edu with your student ID number, we will resend an activation email to your primary email address on file. You can update your email address at my.marylhurst.edu.

GENERAL QUESTIONS

 

What is Google for All!?

Google for All! (GfA) is a campus-wide project to provide universal access to Google Apps for staff, students, and faculty (full-time and adjunct!).

Google Apps includes email, document creation and sharing, calendaring, and web-site hosting. (In Google-speak these are called Gmail, Docs, Drive, Calendar, and Sites.) We will also enable YouTube, Google+, and many more Apps. We'll all have email addresses @marylhurst.edu and have access to work together on the same documents, websites, and calendars.

What's happening?

A few things:

  1. Adjunct faculty Google accounts have transitioned from being @mymail.marylhurst.edu to @marylhurst.edu (however, the old mymail addresses still work).
  2. Students will get Google accounts @marylhurst.edu in the Winter Term.
  3. We enabled certain non-Core services/apps for everyone on November 25.

When will it happen?

It is happening now!

The migration of mymail accounts has completed.  There is a long transition time as adjuncts who haven't taught for awhile may not have accessed their new @marylhurst.edu accounts yet.  

Student accounts will be issued during Winter term, 2014.

What do I need to do?

Nothing yet. We are working with some pilot groups to iron things out Check out our announcements blog for up-to-the-date information (and special secret announcements).

Why GfA?

GfA will provide a rich environment for learning, teaching, and collaboration. It will remove barriers and help us find one another, exchange information, and collaborate — whether we are together in one room or separated by time and space. It is a natural goal for Marylhurst given our history and commitment to connecting a community of learners and teachers, wherever they are.

Who is behind GfA?

Ultimately, it's you! The community has made it clear that you need a rich, easy way to collaborate and share. Many people are working to make it happen. 

What sharing is possible?

Lots! We intend for everyone to be able to share with anyone — at Marylhurst, adjunct or regular faculty, even people who aren't at Marylhurst.

That's a lot of sharing! What about my privacy?

You have complete control of what you share, so you are in charge of your own privacy. We will set the "default" sharing to be very conservative. Google provides excellent  information about sharing settings for documents, sites, and  calendars.

What about security? Google is in the cloud; is that safe?

Google takes security very seriously. While nobody can guarantee security, they have a substantial investment and an excellent track record. More information is available from Google's support site.

Because Google Apps are designed to make it easy to share, you should consider the risk of accidentally sharing too much. 

If you handle confidential information as part of your work as a university employee you should already have received preliminary training on appropriate use of Google Apps. We are finalizing guidelines and will be posting them soon. The Help Desk is the place for questions and concerns.

QUESTIONS MAINLY FOR STUDENTS

 

What will my new email address be?

Email addresses are a combination of your first and last name and some numbers.

What services will I have access to?

Active students will get the Core Google Apps: Gmail, Docs, Drive, Sites, Calendar, and Contacts. We will also make available certain non-Core applications.

How do I find out my new address and get it set up?

Activation emails will be sent to all active students starting on February 14th. It will take about a week to complete that process. Future students will receive activation information as a part of the registration process. We'll send you an email when your account is ready.

I don't want to use Gmail — I want to keep using my email address.

That's fine. However, we very strongly advise that you set up forwarding from your Marylhurst Gmail account to your email address of choice, since that's how people here will find you. Here's how.

I'm new to Google Apps. How do I learn about it?

Google has excellent documentation on their site. We'll also offer classes and you can always contact the Help Desk.

How can people find my email address?

At this time, student email addresses will not be searchable within Google. Marylhurst-issued email addresses are classed as "directory information" under FERPA. We will of course honor FERPA holds filed with the Office of the Registrar.

What if I don't like my new email address or want a different one?

Names will be assigned algorithmically, not chosen. If you are assigned a name that is offensive (algorithms can be dumb) please contact the Help Desk and we'll change it right away.

QUESTIONS MAINLY FOR ADJUNCT FACULTY

 

 Do I have a new email address?  What happened to @mymail.marylhurst.edu?

Yes, all faculty and staff now have email addresses that end with @marylhurst.edu. If you had an address that ended with  @mymail.marylhurst.edu, it will continue to work for some time, so people who use your old address will still be able to find you. Mail sent there is automatically copied to your new account.  However, you should begin using your new account right away.

What is my new email address?

For nearly everyone, the part before the @ sign will stay the same (we have let the few exceptions know). The "mymail" part will go away, so your new name will be currentname@marylhurst.edu.

What happened to my documents, sites, calendars, and contacts?

All your documents, sites, calendars, and contacts are in your @marylhurst.edu account.

You won't be able to access these items in the old account any more. However, we'll keep it around and "dormant" for a while just in case there's a glitch.

What services will I have access to?

Everyone has access to the Core Google Apps: Gmail, Docs, Drive, Sites, Calendar, and Contacts, and certain non-Core.  As new apps become available, we will review and make them accessible to our community as appropriate.

What will change?

With many more people in the domain, things will change. For one thing, it will get much easier to collaborate and share with your adjunct colleagues and students. You'll also be able to use Google Apps to share with people who aren't part of the Marylhurst community.

What about privacy?
